- BINDERY PERSON
DUTIES, AUTHORITY AND RESPONSIBILITIES OF THE BINDERY PERSON
PURPOSE
The purpose of this Standard Procedure is to describe and install the function of Bindery Person.
AUTHORITY
The function of Bindery Person derives it authority from and reports directly to the Production Manager. No other function has direct authority over this function; however, directives or requests received from time to time from the General Manager, Typesetter, Counter Person, Press Operator, other Bindery Persons, Lead Press Operator or Office Manager will be handled in a spirit of cooperation. The Bindery Person exercises no direct control over any other function.
RESPONSIBILITIES: Responsibilities and duties of the Bindery Person include, but are not limited to the following:
1. PRINCIPAL RESPONSIBILITY: DAILY OPERATION OF THE BINDERY INCLUDING THE OPERATION OF THE VARIOUS PIECES OF EQUIPMENT ASSIGNED AND THE MAINTENANCE AND CLEANING OF SAID EQUIPMENT. The following duties are expressly related to this responsibility:
a. Operates all bindery equipment to cut, collate, pad, fold, punch, assemble, score, perforate, drill, number, wrap, or perform any other finishing operation as required by the job.
b. Performs general maintenance on bindery equipment to include periodic cleaning as directed by the Production Manager.
c. Reads and interprets work orders.
d. Reports service call needs to the Production Manager.
e. Assists in organizing work flow to meet delivery schedules.
f. Performs necessary shut down functions on equipment at the end of the day.
g. Wraps, boxes and/or packages material for delivery or shipment as required by the job ticket.
h. Maintains maintenance logs for assigned equipment as directed by the Production Manager.
i. Receives paper, supplies, materials and other goods from vendors and verifies their quantity and accuracy of shipment as compared to the company's purchase order as directed by the Production Manager.
j. Assists with making deliveries as directed by the Production Manager.
k. Inspects all goods to assure the highest quality consistent with the job ticket and other instructions of the customer.
2. RESPONSIBILITY: TO BE AT WORK AT ALL ASSIGNED TIMES, READY AND ABLE TO PERFORM REQUIRED FUNCTIONS. The following duties are expressly related to this responsibility:
a. Works the assigned hours as scheduled by the Production Manager.
b. Schedules vacations through Production Manager.
c. Maintains own time card of hours worked and submits to the Production Manager for approval.
d. Is available for overtime when necessary as scheduled by the Production Manager.
e. Notifies the Production Manager as soon as possible as to an inability to be at work at the assigned time and/or be absence from work.
f. Maintains a clean and neat appearance.
g. Maintains a harmonious relationship with others in the organization.
h. Is punctual and reliable in attendance and work habits.
3. RESPONSIBILITY: TO COMMUNICATE WITH OTHERS THROUGH VERBAL AND/OR WRITTEN REPORTS. The following duties are expressly related to this responsibility:
a. Maintains necessary production reports, time sheets, job jackets and/or other records as required by the Production Manager.
b. Assists Production Manager in completion of all daily reports as required.
c. Interprets instructions and makes decisions as required.
d. Communicates with others in company.
e. Attends daily meeting as directed by Production Manager.
f. Assists in scheduling jobs as required.
g. Wraps and prepares orders for delivery.
h. Prepares orders for shipment via common carrier or other means as necessary.
i. Delivers completed orders as directed by the Production Manager.
j. Insures accuracy and completeness of all work orders.
k. Prepares packing slip and/or forms as required prior to delivery of jobs to customers.
l. Maintains an acceptable and salable quality of work produced on assigned equipment.
4. RESPONSIBILITY: TO MEET PRODUCTION SCHEDULES AND TO ASSURE COMPLETION OF ALL DUTIES WITH A MINIMUM AMOUNT OF WASTE AND ABUSE TO EQUIPMENT. The following duties are expressly related to this responsibility:
a. Assists Production Manager in rush/critical time orders.
b. Meets all assigned delivery times.
c. Organizes work flow to meet delivery schedules.
d. Maintains inventory for press.
e. Files production material as directed by the Production Manager.
f. Retrieves printed jobs from press area for wrapping or bindery operations in a timely fashion.
5. RESPONSIBILITY: TO ASSURE COMPANY POLICIES AND PROCEDURES ARE FOLLOWED. The following duties are expressly related to this responsibility:
a. Assures confidentiality of Company and customer information.
b. Assures company policies and procedures are followed.
c. Assures company's employee guidelines are followed.
6. RESPONSIBILITY: TO MEET ALL ASSIGNED GOALS AND TO ASSIST OTHERS IN ACCOMPLISHING THEIR GOALS. The following duties are expressly related to this responsibility:
a. Performs function of counter person when necessary as assigned by the Production Manager.
b. Assists with answering telephone when necessary.
c. Assists Production Manager in any and all sales activities that may be necessary.
d. Assists Production Manager in press sales activities.
e. Assists Production Manager in customer relations.
f. Assists the Production Manager in monitoring job quality and accuracy.
7. RESPONSIBILITY: TO MAINTAIN AN ACCEPTABLE QUALITY OF WORK AND TO INSPECT ALL PRODUCTS TO ASSURE QUALITY CONTROL. The following duties are expressly related to this responsibility:
a. Assures accuracy and completeness of all job tickets.
b. Assists Production Manager in assuring quality, accuracy and timeliness of all orders.
c. Assists Production Manager in assuring quality and accuracy of typesetting/composition.
d. Assures that a salable, acceptable quality of jobs is maintained.
8. RESPONSIBILITY: TO COMPLETE TRAINING REQUIREMENTS. The following duties are expressly related to this responsibility:
a. Participates in in-store training as directed by Production Manager.
b. Participates at other meeting, both in-store and outside, as deemed necessary by the Production Manager.
9. RESPONSIBILITY: TO USE INVENTORIES AS DIRECTED BY THE PRODUCTION MANAGER AND TO ASSURE MINIMUM WASTAGE AND SPOILAGE. The following duties are expressly related to this responsibility:
a. Takes a (weekly, monthly) inventory of all bindery supplies as directed by the Production Manager.
b. Takes a (weekly, monthly) inventory of certain materials as directed by the Production Manager.
c. Assists in assuring the accuracy and completeness of all inventories.
d. Assists with verifying receipt and accuracy of incoming inventory.
10. RESPONSIBILITY: TO PRESERVE AND PROTECT MONEY, PROPERTY AND OTHER ASSETS OF THE COMPANY. The following duties are expressly related to this responsibility:
a. Reports fraud, waste and/or abuse of company property including, but not limited to, misappropriation of funds, embezzlement, stealing, unauthorized use of company property, facilities and/or equipment.
11. RESPONSIBILITY: TO PRESERVE AND PROTECT THE WORK ENVIRONMENT, PERSONAL SAFETY AND SAFETY OF OTHERS. The following duties are expressly related to this responsibility:
a. Cleans bindery and other assigned areas as required.
b. Empties trash and assists in preparing trash for pickup as directed by the Production Manager.
c. Complies with all safety regulations established by the General Manager in addition to rules and regulations promulgated by the Occupational Safety and Health Administration.
d. Complies with all provisions of the Hazardous Communications Plan and Hazardous Waste Disposal requirements.
e. Complies with all laws and regulations covering equal opportunity and all other employment laws and regulations.
f. Maintains a safe work area and safe working habits.
12. RESPONSIBILITY: TO ASSIST THE PRODUCTION MANAGER IN ANY AND ALL OTHER DUTIES THIS MAY BE ASSIGNED. The following duties are expressly related to this responsibility:
a. Assists in minor maintenance of physical plant.
b. Performs pick-up and delivery functions as required.
c. Assists in any and all other duties which may be assigned.
